Associate Travel Designer
As an Associate Travel Designer, your primary role will be to provide day-to-day support to the Principal Travel Designer, responding to incoming requests and assisting in managing client needs. The goal of this position is to enhance the Designer’s efficiency, enabling them to focus on growing their business and providing exceptional service to their clients.

Key Responsibilities
You will complete a variety of tasks as requested by Travel Designers, including but not limited to:

- Client Support & Reservations
- Perform hotel rate checks and confirm amenities.
- Confirm travel reservations and itinerary components (air, hotel, car, DMC, tour operators) with clients and suppliers.
- Liaise with hotel concierges to make dining, spa, activity, and ground transportation reservations.
- Research and provide destination, culinary, and activity recommendations.
- Itinerary & Profile Management
- Create detailed client itineraries using our preferred application (Tern).
- Build, maintain, and quality-check client profiles in the CRM system.
- Contact hotels prior to client travel to communicate preferences, confirm amenities, and ensure VIP treatment.
- Administrative Support
- Assist with supplier invoicing and coordinate with the accounting department (Sion).
- Research travel insurance options and prepare quotes.
- Submit air quote requests and gather options/pricing for Travel Designer review.
- Create and maintain spreadsheets for client tracking purposes.
- Provide backup support for Travel Designers while they are out of the office or traveling.
- Generate professional internal and external correspondence.
- Collaboration & Development
- Attend virtual meetings (Zoom or Google Meet) and client/team calls.
- Follow processes, procedures, and program guidelines to complete tasks efficiently.
- Proactively seek out areas where additional support might be needed.

Technical Skills
- Proficiency in MS Office Suite, Google Suite, Zoom, and other related technologies.
Additional Requirements
- Ability to work 9 AM – 5 PM EST, five days per week.
- Bachelor’s Degree or equivalent work experience.
- Prior travel industry experience is a plus.
- Some travel required 1-2 times a year for team events)
