Group Travel Specialist – Corporate & Incentive Travel

Location: Remote (with potential travel for site visits and client events)

We’re expanding our corporate and group travel offerings and are seeking an experienced Group Travel Specialist to lead large-scale group programs with precision and polish.

Position Overview:
We’re looking for a seasoned Group Travel Specialist with a strong background in corporate group travel, including incentive trips, executive retreats, sales meetings, and brand-hosted events. The ideal candidate is exceptionally detail-oriented, thrives in complex, multi-layered environments, and has a proven track record of delivering seamless travel experiences for high-level corporate clients.

Key Responsibilities:

  • Plan and manage end-to-end group travel logistics for corporate groups ranging from 20 to 200+ participants
  • Design itineraries that include accommodations, private transfers, flights, meeting space, event coordination, and custom experiences
  • Serve as the primary liaison for corporate clients, maintaining proactive communication and professional rapport throughout
  • Negotiate with hotels, DMCs, and vendors to secure group rates, exclusive amenities, and contract terms
  • Create polished, client-ready proposals and final documentation using itinerary design platforms (Tern experience a plus)
  • Manage detailed timelines for deposits, documentation, rooming lists, and travel confirmations
  • Coordinate on-site support or attend select events, as needed
  • Collaborate with the TST team to ensure brand consistency and an elevated client experience

Qualifications:

  • 3+ years of experience planning corporate group travel, meetings, or incentive programs
  • Strong knowledge of destination logistics and vendor coordination for group experiences
  • Experience managing large budgets and high-volume logistics with confidence
  • Proficiency in GSuite, itinerary planning platforms, and project management tools
  • Impeccable communication skills and the ability to anticipate client needs
  • Familiarity with Virtuoso and luxury travel suppliers a plus
  • Flexible, professional, and poised under pressure
